Job Description:

The Research Foundation for Mental Hygiene, Inc. is seeking a qualified candidate to fill the position of Office Assistant to assist the Division of Fiscal Administration at the New York State Office of Addiction Services and Supports (OASAS) in its administration of the Substance Abuse Prevention and Treatment Block Grant (SAPT). The initiative is funded by the Substance Abuse and Mental Health Services Administration (SAMHSA). This initiative is to address the needs for prevention, treatment, and recovery services throughout the State. Responsibilities include but are not limited to: * Calculate appropriate Federal Grant payments for Providers. * Run necessary reports using the State Aid Budgeting and Reporting System (SABRS) to obtain the most up-to-date Budget information. * Enter Grant payment vouchers into the NYS Statewide Financial System (SFS) accurately - ensuring payee name, payment amounts, descriptions, chartfield strings, interest eligibility and various dates are correct. * Accurately update excel control sheets with Provider payment information. * Contact Providers about missing documentation by telephone or written communications - email. * Create written communication to Providers in reference to payments issues. Reminder and follow-up letters are to be sent in accordance with Unit established timelines. * Review Invoices in SFS (eSettlements) that relate to the State Operations Grant contracts * Communicate with Program staff for review and approvals of contract invoices * Complete the Approval process in SFS of any State Operations Grant contracts * Maintain various records/information. Includes scanning and saving records into LAN files, filing into appropriate Provider or County folders, and updating excel spreadsheets/tracking logs. Information is to be filed in a timely and orderly fashion, in accordance with Unit guidelines * Complete special projects as assigned by Supervisor. Minimum Qualifications: One year of experience in a clerical or office support role. Experience should be any of the following activities: data entry; math or calculations; mail, supply, and inventory-related tasks; keyboarding and other document preparation tasks; answering telephones; completing forms; assisting customers; creating or assisting in the preparation of reports, charts, graphs, and tables; and other related activities. Preferred Qualifications: * Experience gathering, compiling and preparing financial data * Excellent written, oral and interpersonal skills * Proficient in Microsoft Office Suite * Ability to retrieve information from different data sources such as Statewide Finance System (SFS).
