Purpose: As an Administrative Assistant and Accounts Payable Specialist, you will play a pivotal role in supporting the administrative functions of the organization while managing accounts payable processes. This dual role requires a blend of organizational, communication, and financial skills to ensure the smooth operation of office activities and timely processing of financial transactions.
Responsibilities:


  • -- Office Management: Greet and assist visitors, answer phone calls, and manage general inquiries. Maintain an organized and efficient office environment, including ordering supplies and managing office equipment.


    • -- Organize and maintain physical and electronic files: Organize documents and presentations for archival and manage document retention policies. Ensure compliance checklists are maintained per required timelines.


      • -- Invoice Processing : Receive and review vendor invoices for accuracy and completeness. Code and enter invoices into the accounting system for payment. Ensure payments are made on time and in accordance with company policies.


        • -- Vendor Management : Communicate with vendors regarding payment inquiries and discrepancies. Maintain accurate vendor records and update contact information as needed.


          • -- Calendar and Travel Management: Schedule appointments, meetings, and manage calendars for team members. Coordinate travel arrangements, including flights, accommodations, and itineraries. Document Management:


            Qualifications / Skills:

            • High school diploma required, associate or bachelor's degree in business administration, accounting, or related field preferred.
            • Strong organizational and multitasking abilities.
            • Excellent written and verbal communication skills.
            • Attention to detail and accuracy in data entry.
            • Proven experience in administrative roles and accounts payable functions.
            • Proficient in office software (Microsoft Office Suite) and experience with SAP preferred.

              Must be a U.S. citizen or lawful permanent resident of U.S. or otherwise authorized to work in the U.S. without requiring sponsorship now or in the future. COVID-19 Vaccination
