Description GENERAL RESPONSIBILITIES: Executive Administrative Assistant provides Administrative Support to the President & CEO. SPECIFIC RESPONSIBILITIES: --- Handles incoming, outgoing and departmental correspondence for the President/Chief Executive Officer --- Prepares draft correspondence for by the President/Chief Executive Officer. --- Responsible for all secretarial and administrative duties that will arise from the President/Chief Executive Officer's membership on external Boards and committees. --- Perform all other administrative and secretarial duties as assigned by the President/Chief Executive Officer. --- Coordinate calendar for President/CEO --- Take and prepare minutes at senior staff meetings and other meetings, as requested --- Provide coverage at external meetings as designated --- Coordinate travel including, conference registration, flights, lodgings, car rental for the CEO. --- Reconcile invoices and prepare Purchase Orders, including reimbursement of expenses i.e. mileage and travel. --- Attends center wide meetings as assigned. --- Compile information and prepare reports and/or presentations as needed. --- Operate standard office equipment (copier, fax, scanner, laminator, etc.) --- Maintain digital and standard business filing systems. --- Create and maintain logs to track appropriate patient correspondence for accurate record keeping and reporting. --- Use EHR primarily to check provider schedules or any function that directly pertains to job duties. --- Assists with maintaining office equipment, ordering and dispensing of supplies as needed. --- Reconcile consultant timesheets and submit to Accounting for processing --- Cooperate with other staff in accomplishing tasks or projects. --- Provide team coverage to other administrative assistants supporting Senior Management. Assists with a variety of administrative projects, as assigned. --- Ability to travel to all Whitney Young locations. --- Demonstrates excellence in both internal and external customer service. --- Understands and is able to effectively communicate HIPAA compliance, corporate compliance and client confidentiality. --- Adheres to the National Patient Safety Goals as defined by the Joint Commission and Whitney M. Young Jr. Health Center. --- Completes other duties as assigned. --- Keep patient information in the strictest of confidence. Requirements MINIMUM QUALIFICATIONS: Associates Degree; 4 years administrative/secretarial experience including ability to create PowerPoint Presentations and other visual aids with progressive responsibilities; proficient with Microsoft Office; excellent verbal, written, listening and interpersonal communication skills; ability to work extended hours when needed; excellent math and organizational skills; ability to process requests in a timely manner; ability to work in a fast paced environment and handle multiple assignments; independent, self-starter who is highly motivated; ability to work with senior level management.
