Location: 66 South Pearl Street - Albany, New York 12207-1501 JOB BRIEF: The Executive Assistant I will be responsible for the administrative support of the Regional Sales Executive contributing to the overall effectiveness of the executive and his/her direct reports. They enhance Key's corporate reputation by accepting ownership of requests and exploring opportunities to add value to job accomplishments. The successful Executive Assistant will effectively manage the executive's calendar, ensuring accuracy of logistics and optimal use of the executive's time. They will represent the department in a professional manner and balance multiple priorities efficiently and effectively with strict confidentiality, judiciously updating the executive of pertinent issues and providing follow-up with staff and organizational partners to insure executive is prepared and deadlines are achieved. They must also maintain restricted documents allowing for shared confidential access and assist in the coordination and creation of presentations, adhering to executive standards. Critical skills include analytics, engagement and attention to detail. ESSENTIAL JOB FUNCTIONS: * Managing the day to day functions of the Regional Executive office. * Planning and scheduling meetings, calls and appointments. * Managing projects and conducting research. * Preparing analytics and reporting. * Ensure managers have all necessary documents. * Organizing and maintaining files and records. * Maintaining electronic calendars. * Coordinate meetings and set up recurring meetings and conference calls. * Assist with presentation materials such as PowerPoint presentations for monthly, quarterly and annual reporting and special projects. * Creating and editing correspondence, reports and spreadsheets. * Answering phones and routing calls to appropriate parties for resolution. * Maintaining library of documents in support of department's objectives. * Preparing ad-hoc reports via Workday and various reporting systems. * Making travel and client/guest arrangements. * Oversight of client events. * Providing quality customer service. REQUIRED QUALIFICATIONS: * 3-5+ years of executive support. * Excellent phone skills - professional, polite and direct. * Advanced proficiency in the Microsoft Office packages to include Word, Excel, PowerPoint, Outlook and others. * Ability to learn new systems (i.e. Saleforce, Workday, etc.) and interpret data to identify trends and create actionable recommendations. * Proficient in personal computer operations to drive results. * Keen attention to detail, organization and accuracy of work. * Experience working with balance sheets and budgets. * Excellent communication, time management, and organizational skills and ability to build strong relationships and to work in a team environment. * Demonstrated ability to follow through on assignments, solve problems and make decisions. * Adept at interacting with senior executives and their support staff. * Willing to provide assistance proactively or upon request. * Flexible, adaptable, willing to embrace change. * Able to maintain strict confidentiality of documents and information. PREFERRED QUALIFICATIONS: * Financial services related experience.
